Adding a Travel Arranger
Assign travel arrangers to your profile so designated teammates can book trips on your behalf.
How to access the travel tool
- In New Expensify: Click the green + button in the bottom-left corner of your screen, then select Book travel.
- In Classic Expensify: Click Travel in the left-hand menu, then select Book or manage travel.
Need to enable travel still? Reach out to your Account Manager or Concierge to schedule a travel demo and get it enabled for your account.
Why assign a travel arranger?
Travel arrangers are team members who can book travel for others. Adding one (or several) to your profile is helpful if someone regularly handles your bookings, such as an executive assistant or office manager.
Only users with the Travel Arranger role can be assigned as an arranger.
How to add a travel arranger
- Click your user icon in the top-right corner of the travel portal.
- Select My Profile.
- Go to the Configuration tab.
- Click the + Add arranger button.
- Search by name or email.
- Only users with the Travel Arranger role will appear in the results.
- Select the person you’d like to assign.
You can repeat these steps to add multiple arrangers. They’ll be listed in a table within your Configuration tab.
To remove an arranger: Hover over their row and click the small trash can icon at the far right.
FAQ
Can I have more than one travel arranger?
Yes! You can assign multiple arrangers—everyone listed will be able to book travel for you.
Why don’t I see someone in the search results?
They must be assigned the Travel Arranger role by a Domain Admin before they’ll appear as an option.
Can arrangers see or approve my bookings?
Travel arrangers can book on your behalf, but they don’t approve trips or access your personal bookings unless they created them.
