View Event As Employee or Guest

If you’ve been invited to a company event, you can view event details and book travel directly from the Trips page or your event invitation email. This guide covers how both employees and guests can access and manage their event information.


How to access the travel tool

  • In New Expensify: Click the green + button in the bottom-left corner of your screen, then select Book travel.
  • In Classic Expensify: Click Travel in the left-hand menu, then select Book or manage travel.

Need to enable travel still? Reach out to your Account Manager or Concierge to schedule a travel demo and get it enabled for your account.


View your travel as an employee

  1. Click on Travel from your Expensify account.
  2. At the top of the page, select Trips.
  3. Click My Trips.
  4. Find the event marked Upcoming and open the details.
  5. Select Start Booking to book your travel.
    • Available options may include flights, hotels, cars, or rail, depending on the event.

If your event organizer has provided a central billing card, select it under Payment method during booking.


View your travel as a guest

  1. Open your event invitation email.
    • If you’re unsure which inbox to check, ask your company administrator.
  2. Click View Event Details in the email.
  3. You’ll be redirected to Expensify Travel. Select My Trips to see your upcoming event.

On the Trips page, you’ll find your event details and travel options (flight, hotel, car, rail), along with their booking status.

If you haven’t booked yet, follow the same steps as employees to complete your booking.


FAQ

What if I can’t find my event on the Trips page?

Confirm with your event organizer that you were added to the guest list. Employees should also make sure they’re signed in with their company email address.

Can I view event details without an Expensify account?

Yes. Guests can use their event invitation email to view event details, even without an Expensify account.

How do I know if my travel has been booked?

The Trips page shows the status of each travel type (flight, hotel, car, rail). If the status says Booked, your reservation is confirmed.

Can I change or cancel my travel from the Trips page?

Yes. Open the trip details and follow the prompts to change or cancel. Keep in mind that change and cancellation policies depend on the airline, hotel, or rental provider.

What should I do if I didn’t receive an invitation email?

Check your spam or junk folder first. If you still can’t find it, contact your event organizer or company administrator to confirm your email was added correctly.
