Traveler Messaging

Traveler messaging allows Travel Admins to create targeted messages for employees booking travel. Messages can appear as in-app banners in the Travel tool or be delivered by email.

Use Traveler messaging to share policy reminders, travel advisories, booking deadlines, or other important updates. For best results, keep messages short and clear. Messages under 120 characters are more likely to be read and understood quickly.


Who can use Traveler Messaging

Only members with the Travel Admin role can create, edit, publish, or disable Traveler messaging.

If you don’t see the Traveler messaging option, confirm that you have the correct role.


Where to find Traveler Messaging

On web or mobile

  1. Click Program in the top navigation.
  2. Select Company.
  3. In the left menu, go to Configuration.
  4. Click Traveler messaging.

How to create Traveler Messaging

To create a new Traveler message:

  1. Go to Program > Company > Configuration > Traveler messaging.
  2. Click Create new.
  3. Enter a Message name (for example, “Holiday travel notice”).
  4. Select the Mode of delivery:
    • In-app (banner in the Travel tool)
    • Email
  5. Select the Platform / Device:
    • Mobile app
    • Desktop (Online Booking Tool)
  6. Select the Page / Location where the message should appear (for example, Checkout page).
  7. Set the Start date and time.
  8. Set the End date and time. Note: The message will only display during the time period you define.
  9. Enter a Message header (this is the title travelers will see).
  10. Enter the Message body.
  11. (Optional) Add:
    • Link text
    • Link URL

If added, the link opens in a new tab and can direct travelers to additional details or policy documentation.


How to target Traveler Messaging to specific employees

Use the Audience section to control who sees the message. The message will only display to travelers who match all selected conditions.

Each condition is combined using AND logic. That means all conditions must be true for the message to appear.

To add conditions:

  1. In the Audience section, click Add condition.
  2. Choose a condition type.
  3. Define the match criteria.
  4. Repeat to add more conditions if needed.

To create a separate audience group, click Add new audience.

To remove a condition, click the trash can icon.

What conditions can I use to target Traveler Messaging?

You can target Traveler messaging based on:

  • Booking type (air, hotel, car, rail)
  • Trip duration
  • Search city
  • Search country/region
  • Origin city
  • Origin country/region
  • Destination city
  • Destination country/region
  • Legal entity
  • Employee office
  • Employee location country
  • Worker type (Contingent, Employee, Intern, Seasonal)
  • Airline
  • Flight type (domestic, international)
  • Hotel
  • Hotel brand
  • Car vendor
  • Rail operator

Use these filters to automate policy reminders, regional travel notices, or vendor-specific messaging.


How to save or publish Traveler Messaging

When your message is ready:

  • Click Save as draft if you are not ready to make it live.
  • Click Save and publish to activate the message.

Note: Even after publishing, the message will not appear until the configured start date and time.


How to view existing Traveler Messaging

To view current or past messages:

  1. Go to Program > Company > Configuration > Traveler messaging.
  2. Select one of the tabs:
    • Current
    • Upcoming
    • Past

For each message, you’ll see:

  • Message name
  • Start date and time
  • End date and time
  • Mode of delivery
  • Location
  • Status (Draft or Published)
  • Enable/Disable toggle (for Current messages)

Use the toggle to quickly turn a live message on or off.


FAQ

Why isn’t my Traveler Messaging banner appearing?

Check the following:

  • The message is Published
  • The current date and time fall within the configured start and end window
  • The traveler matches all Audience conditions
  • The correct platform and page/location were selected

If any condition is not met, the message will not display.

What is the ideal length for Traveler Messaging?

Keep messages under 120 characters whenever possible. Short messages are easier to read quickly during booking.

Can I send Traveler Messaging by email instead of showing a banner?

Yes. When creating the message, select Email as the Mode of delivery instead of In-app.

Can I edit a published Traveler message?

Yes. Open the message from the list, make changes, and save. Changes will follow the updated schedule and audience conditions.
