Enable Expensify Travel on a workspace

With Expensify Travel your team can book flights, hotels, cars, and more — all within Expensify. Once enabled, your company can centralize booking, expenses, approvals, and chat in one place.

Who can enable Expensify Travel

Only Workspace Admins can enable Expensify Travel for a workspace.

How to enable Expensify Travel

  1. In the navigation tabs (on the left on web, and at the bottom on mobile), click Workspaces.
  2. Click your workspace name to access the settings for that workspace.
  3. In the left menu, click More Features.
  4. Toggle on Travel.

What happens after enabling Expensify Travel

Once Expensify Travel is enabled:

  • Team members can book flights, hotels, cars, and trains
  • Travel bookings follow your workspace’s travel policy
  • Bookings and expenses stay connected from start to finish
  • Admins can book on behalf of others if needed
  • All travel activity is visible in one place

Expensify Travel is available globally on the Collect and Control plans.

FAQ

Why are trip names being added to my expense descriptions?

When Add trip names to expenses is toggled on, Expensify automatically includes the trip name in expense descriptions for expenses created during an Expensify Travel trip.

Workspace Admins can turn this setting on or off by going to Workspaces > [Workspace Name] > Travel and toggling Add trip names to expenses.

Note: The Add trip names to expenses toggle only appears in New Expensify, but it controls description behavior for both New Expensify and Expensify Classic expenses.

Can I set up travel policy rules after enabling Expensify Travel?

Yes! You can define rules for your travel policy after enabling Travel. Rules apply automatically to all bookings once Travel is active. You can learn more about setting restrictions here.

Can a Workspace Admins book travel for others?

Yes, a Workspace Admin can book on behalf of team members and retain full visibility.

Is Expensify Travel only available for Expensify Card users?

No. Any workspace can use Expensify Travel, regardless of whether the Expensify Card is enabled.

If your workspace bills in a currency other than USD and hasn’t enabled Expensify Travel yet, you’ll see a Tax ID step asking for your Legal entity tax ID before you accept the travel terms and conditions. Expensify uses this to set up travel billing in your local currency.

Enter your legal entity tax ID and click Next to proceed to the terms and conditions. This step is skipped for USD workspaces and for workspaces that have already enabled Expensify Travel.

Why do I see “We’re reviewing your request…” when I select Book travel?

Before your company can book travel, Expensify runs a few checks to confirm your account is ready for Expensify Travel. The first time you select Book travel for a workspace that isn’t set up for travel yet, Expensify starts those checks and shows a We’re reviewing your request… message. Click Got it to close it.

You don’t need to do anything else. Expensify will be in touch once your account is ready, and Book travel then opens Expensify Travel.

Why am I asked to validate my account before booking travel?

If your account isn’t validated yet, selecting Book travel opens the Validate your account screen. Enter the security code sent to your email address to continue.

Once the code is accepted, Expensify finishes the travel request for you and shows the We’re reviewing your request… message, so you don’t need to select Book travel again. If you leave the Validate your account screen without entering the code, no request is sent — select Book travel again when you’re ready to continue.

Why can’t I turn off Travel?

If Consolidated Travel Billing is enabled for your workspace, the Travel toggle in More features is locked, because Consolidated Travel Billing requires Travel to stay on. When you select the locked toggle, a message appears asking you to turn off Consolidated Travel Billing first.

To turn off Travel:

  1. In the navigation tabs (on the left on web, and at the bottom on mobile), click Workspaces.
  2. Click your workspace name to access the settings for that workspace.
  3. In the left menu, click More Features.
  4. Select the locked Travel toggle, then click Go to Travel settings.
  5. In the Consolidated Travel Billing section, switch the toggle off.
  6. Return to More features and toggle off Travel.
