Book A Flight

Book flights through Expensify’s integrated travel portal—available in both Classic and New Expensify—with a few easy steps.


How to access the travel tool

  • In New Expensify: Click the green + button in the bottom-left corner of your screen, then select Book travel.
  • In Classic Expensify: Click Travel in the left-hand menu, then select Book or manage travel.

Don’t see the travel feature? Reach out to your Account Manager or Concierge to schedule a travel demo and get it enabled for your account.


How to book a flight

  1. Click the Flight tab.
  2. Enter your trip details:
    • Trip type: one way, round trip, or multi city
    • Origin and destination
    • Travel dates
  3. Click Search flights to see available options.
    • Note: Additional filters such as number of stops, airline selection, and fare class are available near the top to refine search results.
  4. Click on a flight to view additional details.
    • Note: If you see a red Out of policy notice, click the red exclamation to view the reason.
  5. Click Select to choose your preferred flight and continue through any remaining legs of the journey.
  6. On the checkout screen, review:
    • Flight details
    • Traveler information
    • Loyalty programs
    • Seat selection (if applicable) Then click Next.
  7. Select an existing trip or create a new one to apply the booking.
  8. Confirm your payment method and click Book Flight.

What happens next

  • Your company’s travel policy may require approval before confirmation.
  • You’ll receive a confirmation email after your flight is booked.
  • The booking syncs with your Expensify account for easy expense tracking.
  • If the payment card is connected to Expensify, the receipt will automatically merge with the credit card expense.

FAQ

Can I book flights for someone else?

Yes, if you’re an authorized arranger or guest booking is enabled, you can book for others. Learn more about that here.

Do I need to upload the receipt?

Nope! Expensify will automatically attach the receipt to your report.

Can I book international flights?

Yes, you can book both domestic and international flights.

Will my receipt be added to my report automatically?

Yes! Once the flight is booked, your receipt will be SmartScanned and added to an expense report.

Can I cancel or change my flight later?

Flight changes or cancellations depend on the airline’s policy and the flight you booked. Modifications made via support incur a $25 booking change fee.

You can manage your bookings by going to Trips > My Trips.
