No Hidden Costs
Expensify has no hidden costs. We dislike them just as much as you do! In fact, Expensify has no setup fee, no customer service fee, no training fee, and no [insert name here] fee. All this translates to transparent pricing: Companies only pay for the employees that actually use Expensify, so “dead seats” don’t cost anything. Plus, companies can opt in (or out) of our SmartScan technology. (But SmartScan is pretty cool technology in our humble opinion.)
Activity Based Pricing
Expensify only charges companies for the employees that actually use Expensify - we call these employees “active users” - and on top of this, every company gets 2 free active users per month. An active user is someone who has submitted one or more expense reports in a given month. At the end of the month, no matter how many employees you have, you will only be billed for your active users. Each active user can submit an unlimited number of expense reports at no extra charge. All our other great features, including unlimited receipt uploads and automatic credit card import, are included at no extra charge as well.
The cost of the Team plan is $6 per month per active user plus user SmartScan activity if ‘Central Receipt Billing’ is enabled. This means that after your 2 free users, you are billed $6 per month for every user that submits at least one report. No matter how many reports that user submits in a given month, you will be charged $6 for that user. Visit our upgrade page to learn more about Team plan features. Most companies that use QuickBooks will fall under the Team plan.
The cost of the Corporate plan is $11 per month per active user plus user SmartScan activity if ‘Central Receipt Billing’ is enabled. This means that after your 2 free users, you are billed $11 per month for every user that submits at least one report. No matter how many reports that user submits in a given month, you will be charged $11 for that user. Visit our upgrade page to learn more about Corporate plan features. Most companies that use an enterprise level accounting package will fall under the Corporate plan.
Prepay and Save!
Our prepaid pricing option allows you to purchase 12 months of Expensify credit for the price of 10. This works out to a 17% yearly savings! This option is available to companies on the Team and Corporate plans. Visit our prepaid pricing page to see how much your company would save.
Note: Central Receipts Billing is enabled by default on every policy, however this can be disabled at any time in the basics section of your company’s expense policy.
Any user can upload and attach an unlimited number of receipts at no cost. Our optional SmartScan feature is there for users who want to save more time when creating expense reports. Each user is given 10 free SmartScans per month, after which the cost is 20 cents per SmartScan. In order to have the option to pay for SmartScans you will need to upgrade to the Professional plan or higher. There is no cost for upgrading. Companies have the option to centrally pay for employees’ SmartScans in the Basics section of their Policy Settings.
Invoicing and Bill Processing
Expensify’s invoicing and bill processing features are available on the Professional plan and higher. Whether an individual or a company, unlimited invoicing and bill processing is only $15 per month.
